Key Responsibilities to include:
  • Frontline Reception: Greet and welcome visitors in a warm, professional manner
  • Switchboard & Calls: Answer, screen, and direct incoming calls promptly and accurately
  • Messages & Enquiries: Take messages and handle general telephonic and email enquiries
  • Visitor Management: Maintain visitor logs
  • Meeting Coordination: Manage boardroom bookings, diary notifications, and refreshments
  • Communication: Distribute internal notices and assist with general communication between departments
  • Diary Management for Directors
  • Administrative Duties for Directors
  • Assisting the finance department with general administrative duties when needed
  • General Administration and Housekeeping duties
  • Travel bookings, Visa Applications, Passport Applications
  • Filing and Archiving
  • Office Maintenance and Tidiness
  • To enhance the working environment to ensure efficiency and effectiveness
  • Manage incoming and outgoing mail and courier services
  • Accepting general deliveries and informing the relevant department heads/ staff of department specific deliveries
  • Management and record keeping of Couriers + third party shipments
  • Office Presentation: Ensure the reception area and meeting rooms are clean, tidy, and welcoming at all times
Minimum Criteria and Requirements of Applicants:
  • Matric; additional qualification as a Receptionist or Administrative Assistant (advantageous)
  • Minimum of 5 years’ hands-on reception administrative support experience
  • Advanced knowledge of Word and Excel
  • Excellent Verbal and Written Communication skills
  • Impeccable record keeping processes
  • Calm under pressure
  • Attention to detail is a must
  • Ability to be resourceful and proactive when issues arise
  • Flexible, Self-motivated, Organized, Proactive
  • Be able to follow through on a variety of routine administrative tasks and duties to assist the directors and office manager with their day-to-day activities
  • A commitment to providing excellent management and client service through efficiency and quality of work
  • Ability to work independently and in collaborative team environment
  • Sufficiently experienced to resolve problems and to make decisions when required
  • Build working relationships in office and with clients
  • Sets a positive example and displays visible loyalty to the company
